Field Sales app: Privacy Policy
Last updated: 4 November 2026
This policy explains what the Field Sales Android app (package dev.datamonk.fieldsales), published by Datamonk, collects, why, and who can see it.
1. Who the app is for, and who is responsible for your data
Field Sales is a work app for the field sales staff of companies that run Datamonk's Field Sales software on their own Odoo system. You can only use it with a login given to you by your employer.
- Your employer decides how the app is used and is responsible for the data it collects (the "data controller"). Everything the app sends goes to your employer's own Odoo server, whose address you enter when you first open the app.
- Datamonk makes the app and the server software. Datamonk does not receive, store or look at the data the app collects, unless your employer asks Datamonk for support on its system.
This app is an employee location-tracking app. It is never meant to track anyone secretly: tracking only runs when you turn it on, and a notification shows the whole time.
2. What the app collects, and why
Location
- While tracking is on. Nothing is tracked until you tap Start Tracking. Until you tap Stop Tracking, the app sends your precise location to your employer's server about once a minute, including when the app is closed or not in use and when the phone is locked. A notification with the Field Sales icon is shown the whole time. Your employer uses this to see where the field team is, plan visits and review the route travelled.
- At a visit. When you check in at a customer, or start a visit to a new customer, the app records where you were at that moment, to confirm the visit took place at the customer.
- Working hours. Start Tracking checks you in for attendance and Stop Tracking checks you out, each with the time and your location. If tracking is left on, you are checked out at the time your location was last received.
Location is used only for these work purposes. It is never used for advertising and is never sold.
Your work in the app
- Check-in and check-out times, visit results and notes, customer feedback, competitor notes.
- Photos you choose to take of a shop (taken with your phone's camera app; the app has no access to your photo gallery or camera at other times).
- Customer signatures, sales orders, and the details of new customers you add (shop name, phone, address).
Your account
- Your name and login, created for you by your employer. You sign in on your employer's server.
- A random sign-in key that lets the phone send your location while you are not using the app. It is stored only in the app's private storage on your phone, is not included in phone backups, and the server keeps only a scrambled (hashed) copy. Your employer can switch it off at any time.
- Your employer's server address, stored on the phone so you don't need to enter it again.
- The version of the app you are using (for example "1.5"), so your employer can see who needs to update it.
What the app does not collect
The app does not access your contacts, messages, call logs, microphone, files or photo gallery. It contains no advertising and no analytics or tracking tools, and it does not use your advertising ID.
3. Permissions the app asks for
- Location, including "Allow all the time": to send your location while tracking is on, also when the phone is locked. Before Android asks, the app explains this on screen.
- Notifications: to show that tracking is on, and to warn you if location sharing stops working.
- Run in the background: the app may ask you to allow background use in your phone's settings, so phone battery savers don't stop tracking while it is on.
- Internet: to communicate with your employer's server.
You can change these permissions at any time in your phone's settings.
4. Who can see your data
- Your employer's managers and administrators, in your employer's Odoo system.
- Your employer's hosting provider, which runs the server your employer uses.
- A map service chosen by your employer (Google Maps, or OpenStreetMap if your employer has not set up Google Maps) is used to show maps and to find street addresses for customer locations.
Neither Datamonk nor your employer's Field Sales software sells your data or shares it for advertising.
5. Security
The app only connects to your employer's server over an encrypted connection (HTTPS). The sign-in key is kept in the app's private storage and is never backed up to the cloud or copied to another phone.
6. How long data is kept
- Location points sent while tracking is on are deleted automatically after 30 days.
- Visit records, attendance, photos, signatures and orders are business records kept by your employer under its own record-keeping rules.
- Removing the app deletes everything it stored on the phone.
7. Your choices and rights
- Stop tracking at any time with the Stop Tracking button, or remove the app's location permission in your phone's settings.
- To see, correct or delete your data, or to have your account removed, contact your employer, which holds the data. Your account is created and removed by your employer, not in the app.
- If you can't reach your employer, or have a question about the app itself, contact Datamonk (below) and we will help you reach the right person.
8. Children
The app is for employees only and is not intended for anyone under 18.
9. Changes to this policy
If the app starts collecting data in a new way, we will update this page and the date above before that version of the app is released.
